Welcome to the CIHRM’s privacy policy.

The Chartered Institute of Human Resource Management, Ghana (CIHRM GHANA) respects your privacy and is committed to ensuring the safeguarding of your personal data. This privacy policy helps you to understand how we collect and use your personal data.

It is important to take note of this privacy policy and other privacy notices, or fair processing notices we may make available on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data.

PURPOSE OF THIS PRIVACY POLICY
The Data Protection Act, 2012 (Act 843) of the Republic of Ghana, requires a commitment on the part of data controllers to protect the privacy of individual and personal data. Section 23 of the Act states that” A data controller who collects data shall take the necessary steps to ensure that the data subject is aware of the purpose for the collection of the data.”

Hence, this privacy policy intends to inform you about how CIHRM, Ghana collects and processes your data through your use of our website and other means including post, telephone, and email, including any data you may provide through our website when you register as a member, personalize your preferences, participate in forums/chapter meetings, our newsletters, or other social media channels, submit a registration form either online or hardcopy to the Institute.

By using our website: www.cihrmghana.org (our ‘Website’), or any of our social media channels, you are accepting and consenting to the practices described in this policy.

WHO WE ARE
In this privacy policy, CIHRM means The Chartered Institute of Human Resource Management, Ghana (established under the Chartered Institute of Human Resource Management Act, Act 1020, 2020)

CIHRM Ghana may act as a data controller of your personal data. We refer to these entities collectively as “CIHRM”, “the Institute” “we” and “us”.

DATA COLLECTION TYPE
Personal data simply means any information about an individual from which that person can be identified. We only collect personal data or data relevant to the transaction type or interactions you have submitted to CIHRM.  For example, we may collect, use, store and transfer personal data about you as follows:
• Identity Data such as first name, maiden name, last name, username or similar identifier, marital status, title, picture, nationality, date of birth and gender.
• Contact Data includes postal address, email address and telephone numbers.
• Transaction Data includes details about payments to and from you and other details of products and services you have purchased from us.
• Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website.
• Usage Data includes information about how you use our website and services.
• Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preferences.
• Assessment Data such as examination history, subject, grade, type of CIHRM qualification, centre, chapter, and session.
• Student Data which may include Student ID, centre, session, and admission year.

HOW YOUR PERSONAL DATA IS COLLECTED
We use different methods to collect data from and about you including through:
Direct interactions. You may give us your Identity and contact by filling in forms or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you:
– Join as a CIHRM member and during your membership with us, such as contributing to surveys, and research activities.
– Create an account on our website.
– Carry out any transaction with the Institute either on our website or through the bank.
– provide a CV’s or other information about yourself for specific purposes.
– Attend our CPEs and other forums.

Automated technologies or interactions. Whenever you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions and patterns. We may also receive Technical Data about you if you visit other websites employing our cookies. Cookies can be used to show you relevant CIHRM content on social media services or other websites – these are known as ‘retargeting’ or ‘advertising’ cookies.

Third parties or publicly available sources. Section 26 of the Data Protection Act, 2012 (Act 843) states that “A data controller who processes personal data shall ensure that the data is complete, accurate, up to date and not misleading having regard to the purpose for the collection or processing of the personal data.” Hence, the Institute may receive personal data from various third parties and public sources as set below:
o The Institute holds the right to confirm the quality and truth of personal data you provide by verifying with your employer.
o Technical Data from the following parties: (a) analytics providers; (b) advertising networks; and (c) search information providers.
o Identity and Contact Data where you have made information available in the public domain including posting on one of our social media pages such as Facebook, Twitter or LinkedIn depending on your settings, or the privacy polices of these social media and messaging services. To change your settings please refer to the privacy notices available on their respective platforms.

HOW DO WE USE YOUR PERSONAL DATA?
CIHRM, Ghana may collect your personal for various reasons. Example of some reasons are listed below:

We collect and use your personal information by using cookies on our website. You can set your browser to refuse all or some browser cookies or to alert you when websites set or access cookies. If you disable or refuse cookies, please note that some parts of our website may become inaccessible or not function properly.

Third-party marketing
We will never sell your personal data to third parties for marketing and will get your express opt-in consent before we share your personal data with any company outside the CIHRM for marketing purposes.

MARKETING
For marketing purposes, we may use your personal data to provide you with information about our services and /or training, which we consider may be of interest to you. Where we do this via email, it will not be without your prior consent except for when you have previously purchased at least a service from us, in which case, you will receive marketing from us unless you have written to us at info@cihrmghana.org, or to it@cihrmghana.org, that you do not wish to receive that marketing.

OPTING OUT OF DIRECT MARKETING
You may opt out of receiving email communication from the Institute by clicking on the unsubscribe button of any email which will give you the option to unsubscribe from all emails. Alternatively, you can reply to any mail you receive or call our office on +233 242 438 758.

WHERE DO WE STORE YOUR DATA.
The Institute remains committed to ensuring that your personal data is well stored. It is important to note that, your personal data may be shared within the Institute where necessary. All your personal data shall be processed only by the Institute unless otherwise delegated which you will be informed about the delegation.

We have internal and external servers where your personal data are stored. External data are stored in secured cloud platforms.

However, it is worthy of note that it is unfortunate, that no transmission of your personal data over the internet can be guaranteed to be 100% secure.
